Lens & Launch Media is committed to protecting the personal information of clients and contacts. We handle your data with transparency, and only as needed to deliver our services.
Information We Collect
When you engage with us, we may collect:
- Contact details — name, email address, phone number
- Business information — business name, social media handles, website URLs
- Project details — creative briefs, mood boards, shoot locations
- Payment information — processed securely through our invoicing platform; card details are never stored by us directly
How We Use Your Information
Your information is used solely to manage your project and communicate with you. We use it to:
- Coordinate shoot scheduling and creative briefs
- Send invoices and payment reminders
- Deliver finished content to your private gallery
- Follow up on project revisions and feedback
We do not sell, rent, or share your personal information with third parties for marketing purposes. Your details stay with us.
Third-Party Tools
We use select third-party platforms to operate our business — including invoicing software, file delivery platforms, and project management tools. These services have their own privacy policies, and we choose only trusted providers.
Data Retention
Client records are retained for a minimum of seven years for legal and financial compliance. Raw files and content assets are held for up to twelve months post-delivery unless otherwise agreed.
Your Rights
You have the right to access, correct, or request deletion of your personal information at any time. Contact us directly and we'll respond within five business days.

Copyright & Intellectual Property
All creative work produced by Lens & Launch Media is protected under Australian copyright law. Understanding who owns what — and what you can do with it — matters to us.
Ownership of Raw Files
Lens & Launch Media retains full copyright ownership of all raw image and video files captured during any shoot. Raw files are not included in standard packages.
Raw files are available for separate purchase. Contact Lara to discuss pricing. Transfer of raw files does not transfer copyright unless explicitly stated in a separate written agreement.
Ownership of Delivered Content
Upon receipt of full payment, the client is granted a perpetual, non-exclusive, non-transferable licence to use all final delivered content across:
- Their own website and digital channels
- Social media platforms (Instagram, Facebook, TikTok, LinkedIn, etc.)
- Printed marketing materials, including flyers, signage, and publications
- Email marketing and advertising campaigns
Licensing, not ownership. Receiving final files grants you a licence to use the content — it does not transfer copyright. Lens & Launch Media retains authorship of all work.
Restrictions
The following are not permitted without prior written approval:
- Reselling or sublicensing delivered content to any third party
- Using delivered content to train AI models or datasets
- Altering or editing delivered content in ways that misrepresent the original work
- Using content outside of the client's own brand — for example, in advertising for a separate business
Third-Party Elements
If a shoot involves third-party trademarks, logos, artwork, or locations that require separate clearance, the client is responsible for obtaining and providing those rights prior to the shoot date.
Cancellation & Rescheduling
We understand that plans change. These terms are in place to protect time and effort invested on both sides — and to keep things fair and transparent.
Cancellation by the Client
Deposit is non-refundable but may be applied as credit toward a rescheduled booking within 90 days.
Deposit is forfeited. Any additional payments received up to that point are non-refundable.
All payments made to date are forfeited. A rebooking may be offered at Lens & Launch's discretion, subject to availability.
All payments are forfeited. No credit or reschedule will be offered. The full package fee may still be invoiced if costs have been incurred.
Rescheduling by the Client
One reschedule is permitted per booking, provided at least 7 days' notice is given. The new shoot date is subject to availability. Rescheduling with less than 7 days' notice is treated as a cancellation under the terms above.
A rescheduling fee of $75 AUD applies to any reschedule request, regardless of notice period.
Cancellation by Lens & Launch Media
If Lens & Launch Media must cancel a confirmed booking due to illness, emergency, or circumstances beyond our control:
- We will notify you as soon as reasonably possible
- All payments received will be refunded in full, or applied to a rescheduled date — at your choice
- We will make every effort to find a replacement date at no additional cost
Weather & Outdoor Shoots
Outdoor shoots affected by severe weather may be rescheduled at no penalty to either party, provided Lens & Launch Media makes the call by 8:00am on the shoot day. The decision rests with Lens & Launch Media. Light rain or overcast conditions are not grounds for automatic cancellation.
Payment Terms
Transparent, structured payments keep projects moving smoothly. These terms apply to all service engagements with Lens & Launch Media.
Invoicing
Invoices are issued via our invoicing platform and sent to the email address provided at the time of booking. Payment due dates are stated on each invoice. Our standard payment terms are 7 days from the invoice date, unless otherwise agreed in writing.
Accepted Payment Methods
- Direct bank transfer (EFT) — details on invoice
- Credit or debit card — via the secure payment link on the invoice
Cash and cheque are not accepted.
Late Payments
Invoices unpaid after the due date will incur a late fee of $25 AUD per week until the balance is settled. Lens & Launch Media reserves the right to pause or suspend delivery of content and services until outstanding invoices are paid in full.
Final gallery delivery is withheld until all payments are received in full. This applies to all packages, without exception.
Disputes
If you believe an invoice is incorrect, contact us within 5 business days of receipt. Disputes raised after delivery of the final gallery will not affect the payment obligation, but will be reviewed and addressed in good faith.
GST
All prices quoted are in Australian Dollars (AUD). GST is included unless otherwise stated on the invoice. A tax invoice will be provided upon request.
Content Usage & Licensing
This policy clarifies how delivered content may be used, and when additional licensing is required. It works alongside the Copyright Policy above.
Standard Licence (Included)
Every completed project includes a non-exclusive, perpetual licence for the client to use delivered content across their own brand channels — including social media, websites, email marketing, and print collateral.
Extended Commercial Use
The following uses require a separate written agreement and may involve additional licensing fees:
- Paid advertising — using delivered content in paid social, display, or programmatic advertising campaigns
- National or international broadcast — TV, streaming platforms, or large-scale outdoor media
- Third-party licensing — using content on behalf of, or for, a business other than the contracting client
- Stock or syndication — submitting or distributing content to stock libraries or aggregator platforms
Contact Lara before using delivered content in any of the above contexts. Extended licences are available and reasonably priced.
Credit & Attribution
While not mandatory, crediting @lensandlaunchmedia when sharing content on social media is appreciated — and occasionally means more collaboration down the line.
Editing Delivered Content
Light editing — cropping for platform formats, adding text overlays, adjusting brightness — is permitted. Significant alterations that change the nature or quality of the work, including applying heavy filters or removing watermarks, are not permitted without written approval.
Portfolio & Promotional Use
Creating great content is our work — and showcasing it is how we attract the right clients. This policy covers how we may use delivered content to promote Lens & Launch Media.
Our Default Right
Lens & Launch Media reserves the right to use final delivered images and video in its own:
- Portfolio and case studies (website, printed materials)
- Social media content (Instagram, Facebook, TikTok, LinkedIn)
- Marketing and advertising materials
- Award entries and industry submissions
This right is retained unless the client requests otherwise in writing before the shoot date.
Requesting Confidentiality
If you need your content kept confidential — for example, if images are for an internal campaign not yet public — let us know before your shoot. We'll honour that request and hold the content until you give us the all-clear, or waive portfolio use entirely if needed.
Confidentiality requests must be made in writing before the shoot. Requests made after content has been published to our platforms cannot be guaranteed.
Tagging & Credit
When sharing your work on social media, we will tag your business account where possible. If you'd prefer we don't tag your account — or if you'd like us to hold off on posting until your own content goes live — just let us know. We're always happy to coordinate timing.
Testimonials
If you leave a review or provide written feedback, we may use your words (attributed to your first name and business name) in promotional materials. You can opt out of this at any time by contacting us.
